General Terms and Conditions for East Bay Country Club

Menu Planning

The enclosed menus are merely suggestions. Our chef would be happy to prepare any menu you may desire. To allow adequate time for preparation, menu plans must be completed a minimum of two weeks in advance.

Retainer & Payment

A $500.00 retainer is required for each function at the time of booking. This retainer is NON-REFUNDABLE and will be applied in full to your final balance.

We must have your guaranteed number and final payment one week (THREE weeks for weddings) before the event. Minimum expenditure of $500.00 for any event. If not provided, your expected number will become the guaranteed number.

Room Assignment

All banquet rooms are assigned on the number of anticipated guests and the basic requirement of the function. The club reserves the right to allocate the appropriate room for the function according to attendance.

  • Saturday - Monmouth: Minimum 100 Adults
  • Friday or Sunday: Minimum 75 Adults
  • Wentwood: Minimum 30 Adults

Food & Beverage Policy

No food or beverage will be permitted to be brought into or onto the grounds OR removed from the premises by the patron or any of their guests or invitees. The only exception to this is a celebratory cake.

In accordance with Florida State and local A.B.C. laws, NO alcohol will be allowed to be imported onto or removed from the premises. Should any minor be found to have alcohol in their possession, the management reserves the right to close the bar immediately or to terminate the function entirely at the client's expense. Picture I.D. may be required for the consumption of alcohol.

Property & Decorations

The club does not permit the attaching of any materials to any wall in the club. The patron agrees to be responsible for any damage caused to or on the premises.

The use of sprinkles, throwing of rice, birdseed or confetti is not permitted inside or around the building. If required, this will be cleaned at the patron's expense.

Candles MUST be enclosed or use of floating candles is permitted.

Liability

The club is not responsible for any loss of property from the public rooms before, during or after the event.

Event Duration & Overtime

All events are based on a 4 hour duration starting rigidly at scheduled times. If getting married here, this includes ceremony time.

Standard Package Overtime: $300.00 per hour or part thereof plus cost of package bar

Ultimate Package Overtime: $550.00 per hour plus package bar

Photography & Off-Site Weddings

If using the Ultimate Package but getting married off-site, photography rate is $150.00 per hour.

Ceremony Chairs & Rehearsal

If getting married here, we will supply up to 100 chairs for guests outside at NO CHARGE. Above 100 guests, chairs are charged at $4.00 per chair for rental.

There is no charge for a rehearsal on the terrace (Mon - Thurs Only) but it is necessary to contact us 72 hours prior to ensure availability. Due to commitments to our other patrons, we cannot participate in rehearsals; this is organized by your Minister or Notary. With deference to other clients, a maximum of 30 minutes is allowed.

Tax & Gratuity

A 7% sales tax and 20% gratuity will be added to all prices.

1. Agreement to Terms

3. Services and Bookings

East Bay Country Club provides event venue services including weddings, banquets, and special events. All bookings are subject to availability and confirmation. We reserve the right to refuse service to anyone for any reason at any time.

Pricing, packages, and services are subject to change without notice. Final pricing and terms will be outlined in your event contract.

4. Intellectual Property Rights

The website and its entire contents, features, and functionality (including but not limited to all information, software, text, displays, images, video, and audio) are owned by East Bay Country Club and are protected by United States and international copyright, trademark, patent, trade secret, and other intellectual property laws.

You may not reproduce, distribute, modify, create derivative works of, publicly display, or exploit for any commercial purposes any portion of the website without express written permission from East Bay Country Club.

5. User Content and Submissions

If you submit reviews, testimonials, photos, or other content to our website, you grant East Bay Country Club a non-exclusive, royalty-free, perpetual, and worldwide license to use, reproduce, modify, and display such content for marketing and promotional purposes.

You represent that you own or have the necessary rights to any content you submit and that such content does not violate any third-party rights.

6. Disclaimer of Warranties

The website is provided on an "as is" and "as available" basis. East Bay Country Club makes no representations or warranties of any kind, express or implied, as to the operation of the website or the information, content, or materials included on the website.

To the full extent permissible by applicable law, we disclaim all warranties, express or implied, including but not limited to implied warranties of merchantability and fitness for a particular purpose.

7. Limitation of Liability

In no event shall East Bay Country Club, its officers, directors, employees, or agents be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation, loss of profits, data, use, goodwill, or other intangible losses, resulting from your access to or use of or inability to access or use the website.

8. Indemnification

You agree to defend, indemnify, and hold harmless East Bay Country Club and its licensors and licensees from and against any claims, liabilities, damages, judgments, awards, losses, costs, expenses, or fees arising out of or relating to your violation of these Terms of Service or your use of the website.

9. Governing Law

These Terms of Service shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law provisions. Any legal action or proceeding arising under these terms will be brought exclusively in the courts located in Pinellas County, Florida.

10. Changes to Terms

We reserve the right to modify or replace these Terms of Service at any time at our sole discretion. If a revision is material, we will provide at least 30 days' notice prior to any new terms taking effect. What constitutes a material change will be determined at our sole discretion.

By continuing to access or use our website after those revisions become effective, you agree to be bound by the revised terms.

Important Payment Deadlines

  • • Guaranteed number and final payment due one week before the event
  • • For weddings: Guaranteed number and final payment due THREE weeks before the event
  • • Minimum expenditure: $500.00 for any event
  • • If guaranteed number is not provided, your expected number becomes the guaranteed number

Room Allocation

Should any minor be found to have alcohol in their possession, the management reserves the right to close the bar immediately or to terminate the function entirely at the client's expense. Picture I.D. may be required for the consumption of alcohol.

Property & Decorations

Photography & Wedding Services

On-Site Wedding Amenities:

  • • Up to 100 chairs for guests outside at NO CHARGE
  • • Above 100 guests: chairs are $4.00 per chair for rental
  • Free rehearsal on the terrace (Monday - Thursday only)
  • • Contact us 72 hours prior to ensure availability for rehearsal
  • • Rehearsals organized by your Minister or Notary (maximum 30 minutes allowed)
  • • The club cannot participate in rehearsals due to commitments to other patrons

Taxes & Gratuity

A 7% sales tax and 20% gratuity will be added to all prices.
